Instructions for filling out the Rental Agreement.
Please use the following instructions for filling out the FanComm rental agreement. Fill out as much as you can and we will fill out the rest. Please fill out the agreement as CLEARLY as possible.
First line: Put you name on the line as you are the renter.
Item 1: This is where you put the type of equipment you would like to rent, (Buddy Package 200, Family Package 408, etc). Please put any special instructions you want or need for the equipment such as: Family Package 409 with 2 C-45RM and 3 C-60RM headsets. If you are camping and will not have access to electrical power tell us so we can fully charge the scanner and send an extra batteries for the scanner(s).
Item 2: Put the price of the package on the first line, i.e. if you ordered a Buddy package 200 the price would be $85.00.
Item 3: The first blank has the security deposit on it. FanComm will approve your card for this amount, but only charge the card the rental price. If we don't get the equipment back in good working order, or not at all, we will charge you at least $300.00. The second blank line is for the total retail price of the equipment, FanComm will fill this block out for you. If we don't get the equipment back FanComm will charge you the full retail price of the equipment listed on the second line of this item.
Item5: In the first block please put the day you want to start the rental period. Normally this is the Friday before the race. If you need the equipment sooner please indicate the date in the first block. The second block is normally the pick up date and is usually the Wednesday after the race. If you are not going to be back from the race on that date please let us know and put that date in the second block. The third block is for the race you are going to, i.e. (Texas on April 5th.) and the 4th block is for the ABSOLUTE NEED BY DATE goes here. If you need the rental earlier than the Friday before the race, put the date you need the rental by here. This date may or may not be the same as the first block. This line tells us the latest day you will be home to accept delivery of the equipment and helps us figure out when FanComm needs to ship the equipment out to you..
**** NOTE: If the date blocks are not filled in, FanComm will assume that the FRIDAY before the race is ok for delivery and the Wednesday after the race is ok for the pick up date.****
New UPS SHIPPING OPTIONS
Because our customers requested it, we have come up with 3 ways you can ship your race equipment back to us at FanComm. Up until now, FanComm would issue a CALL TAG for a UPS pick up on the Wednesday after the race. Some of our customers requested alternate ways to get this equipment back to FanComm after the race. Well here are your choices:
Choice One: CALL TAG. (Good for you)
This is the traditional method for sending equipment back to FanComm after the race is over. FanComm typically issues a Call Tag on the Monday after the race for a pick up on the Wednesday after the race. A UPS CALL TAG has a 3-day window for UPS to pick up this package, or anytime from Wednesday morning to Friday evening. The package arrives back at the FanComm offices about 4 to 5 days later.
If you check the CALL TAG method, FanComm will issue the Call Tag on the Monday after the race ends. If you have a specific day you need the equipment picked up let us know so that FanComm can issue the Call Tag 3 days before your requested pick up date.
Choice Two: RETURN LABEL. (Good for us)
Several of our customers told us they didn?t want to keep the package until Wednesday. They wanted to ship it back on Monday when they returned from the race.
If you check the RETURN LABEL method of shipping, FanComm will issue a RETURN LABEL and YOU can send back the package when ever you want to so that it arrives at FanComm on or before the Friday 12 days after the race is finished. YOU will need to call UPS at 1-800-PICKUPS (1-800-742-5877)to schedule a pick up time.
If you need a special return date let us know so we can approve the special handling before the rental leaves our office.
The equipment must arrive back in our office ON or BEFORE the Friday 12 days after the race is finished or a late of $20.00 will be assessed. If the rental doesn?t make it back to our office within a 30-day window, you will be charged the FULL RETAIL AMOUNT for the equipment.
Choice Three: CUSTOMER USES THEIR OWN UPS ACCOUNT: (Better for both of us)
Several of our customers want to use their OWN UPS ACCOUNT to ship the rental equipment back to us after the race is finished. If you select this option, you agree to pay for the shipping of the equipment back to our office and have the equipment arrive no later than the Friday 12 days after the race ends unless special instructions have been issued.
We will reduce the rental amount by $7.00 since you are now paying for the return shipping cost.
As in Choice Two, you agree to ship the equipment back to FanComm so the equipment arrives ON or BEFORE the Friday 12 days after the race is completed or a late of $20.00 will be assessed. If the rental doesn?t make it back to our office within a 30-day window, you will be charged the FULL RETAIL AMOUNT for the equipment.

Item 7: Any SPECIAL INSTRUCTIONS should be placed here. Any special shipping or handling instructions should be placed here. You can put the ABSOLUTELY NEED BY DATE here. If you leaving early to the race put that here. If you are camping and will not have access to electrical power you can indicate that here so we can fully charge the scanner and send an extra batteries for the scanner(s).
Please sign the rental agreement on the in marked RENTER. A FanComm member will sign the block marked OWNER.
Under the Billing and Shipping information, please fill out all the indicated blocks as CLEARLY as possible. The address should match the Credit Card billing address. I can't stress enough the need to have this section filled out as CLEARLY as possible. We don't want to send the package to the wrong address or have the wrong credit card charged for the rental. While this may be good for you chances are the card would not be approved and that would force us to call you for clarification of the information. This may cause a delay in shipping your rental to you.
IF the SHIP TO address is different than the Billing address please indicate on the rental form where you need FanComm to ship the package to. Include the phone number of this address so UPS can call if the y have questions on how to get to the Ship to location. There is space next to the very first line of the agreement if you need to put a SHIP TO location on the form.
